Additional Features for the Zoom for Outlook Add-In

The Zoom for Outlook add-in has several additional features that can be enabled by an administrator. The following sections describe some of the latest features that are available for the Zoom for Outlook add-in and provide instructions on how to activate them.

Many of the additional features for the Zoom for Outlook add-in require administrators to pre-configure the add-in manifest file before deploying it.

To activate an additional feature for the add-in, administrators must add specific command lines to the Zoom for Outlook add-in manifest file before deploying it in the Microsoft 365 admin portal. The Pre-configuring the Outlook add-in support article provides instructions on how to download the manifest file and customize it based on the features you would like to activate.

Initiating Zoom Phone calls from the Outlook client

Initiate Zoom Phone calls directly from the Outlook client with the Zoom for Outlook add-in.

Microsoft Outlook users who also have Zoom Phone can open the ellipses (...) button in the upper control menu within the Outlook client and select the Zoom Phone option, opening a list of Outlook contacts and previously called numbers that can be selected to initiate a Zoom Phone call.

The Zoom Phone option must be enabled in the Zoom for Outlook add-in manifest file.

The Zoom Phone option is not provided by default, even if you do have Zoom Phone for your account. For administrators to add this option for their users, refer to our Pre-configuring the Outlook add-in support article for steps on how to download the Zoom for Outlook add-in manifest file and manually add the Zoom Phone option within the file before deploying it.

Booking a Zoom Rooms-equipped meeting space

Book a Zoom Rooms-equipped meeting space while creating an Outlook calendar event using the Zoom for Outlook add-in and Zoom Workspace Reservation.

Zoom Workspace Reservation has been integrated into the Zoom for Outlook add-in to simplify the process of booking meeting rooms and desks while creating Outlook calendar events. This is exclusively available for users who are part of a Zoom account with a Workspace Reservation subscription. You can book a non-Zoom room space, like a desk or reservation room, through the add-in using Workspace Reservation. However, the space must have a Microsoft 365 calendar attached to it.

For the Outlook desktop client, click the Zoom for Outlook add-in icon in the upper menu of an Outlook calendar event. Then click Reserve a Workspace to see a list of available rooms to book for your event.

The Workspace Reservation option must be enabled in the Zoom for Outlook add-in manifest file.

The Workspace Reservation option is not provided by default, even if you do have Workspace Reservation for your Zoom account. Setting up Send auto-sync

The Send auto-sync feature allows users to update their Zoom Meetings in Outlook by simply clicking the Send button, without opening the Zoom for Outlook add-in.

The Send auto-sync functionality pertains to Outlook calendar event modifications such as adjusting the event topic, date, time, recurrence options, attendees, and more. This feature applies to various Outlook event types including single, recurring, and occurrence events. Note

The Send auto-sync feature does not apply to canceling or deleting an event in Outlook. Users with Send auto-sync enabled will still need to manually delete any associated Zoom Meetings.

Send auto-sync only works with Microsoft Outlook on the web or desktop versions released after October 2022.

Note

Microsoft Outlook for iOS and Android do not support Send auto-sync.

The Send auto-sync option must be enabled by an administrator in the Zoom for Outlook add-in manifest file.

Users on older versions of the Outlook user interface that do not support Send auto-sync must manually update Zoom Meetings.

Only the Microsoft Outlook new/modern interface versions support the automatic synchronization of Zoom Meeting information when the Send button is clicked in Outlook. Users on legacy Outlook user interfaces will need to continue updating and removing Zoom Meetings manually through the Zoom for Outlook add-in settings or rely on Zoom calendar integration to sync any updates to affected Zoom Meetings during the next sync interval as described in our Enabling bi-directional calendar sync support article.
